Developing A Better Communication System
Sound communication system forms the basis for the effective and efficient running of operational goals. Without, effective communication, it will be very difficult to coordinate the day today activities of staff members, there will be poor understanding of traders and clients, no development which directly affect the performance management as either there be very little or nil performance on part of employees. It has been proved through researchers that employees spend nearly 50%-80% of their tome in communicating with each other.
Many times it has been seen that managers do not keep the good and healthy communication levels in the organization thereby heavily affecting on the growth of firm. They hardly work towards making a better communication structure thus it eradicate the vital “feedback loop”.
At times we ourselves are a part of bad communication system and accentuate it to grow further.
Good Communication System
- All the members of organization should possess proficiency, expertise and understanding to make communication a success. Communication is a complex process .it needs to be used up well otherwise it wont bring fruitful results.
- The atmosphere of organization should be such that supports and promotes the healthy and effective communication system .the environment of the organization should comprise of trust, understanding, openness, atmosphere of shared responsibility and where good practices can be made for betterment of communication system.
- Appropriate attention should be made for making an efficient communication system. It requires deliberate and constant efforts on the part of both staff as well as employers for making a big change in communication system.
Our Role
- First of all, we should see that the required amount of knowledge and expertise is present in employees necessary for effective communication. If it is not there, then necessary training can be provided with the help of trained coaches.
- Secondly you should develop such a climate in your organization that helps in fostering and promoting the effective communication system, otherwise without the presence of proper climate all our efforts will prove to be worn out.
- Try to bring the defaults in communication system in front of your staff members along with its demerits. Unless you pay attention to your communication system, staff will put that in backyard.

- Try to maximize the use of direct communication systems instead of indirect communication, as indirect communication leads to grapevine and distort the useful information. Direct communication means sending the message directly from a sender to the person, for whom the message is made.
- Inculcate the activity of communication audit in your enterprise.
- Evaluate and review your own communication awareness and understanding.
- Actively seek feedback about the present communication system in your organization. Ask questions from staff members like clearance of objectives during communication, about how well is your communication system is? You should involve more staff participation while designing a better communication system.
- Members should be clearly communicated well about the behavior in different situations. They should be guided well in reacting with disagreements, ways of horizontal communication between same level of employees and vertical communication between different levels of employees.
